Where the paperwork actually is

Receipts live in email. Invoices sit in Stripe, PayPal, or a folder named Finance-final-v3. Categories drift. Month-end never quite closes. When your CPA asks for numbers, you spend a weekend reconstructing them.

Another weekly call will not fix that. You need the close to happen, and a short written report when it does. If you take Standard, we also clear the admin that blocks shipping: inbox, scheduling, documents. Starter is the close only.

What the month includes

Monthly close

  • Receipt and invoice capture. From email, drives, and tools you already use. Gaps come back as a short checklist, not a meeting.
  • Categorisation. A consistent chart of accounts. Edge cases flagged in writing.
  • Reconciliation. Bank and key accounts matched each month.
  • Written monthly report. What moved, what’s outstanding, what to decide. Ready to forward to your CPA.

Light admin, Standard only

  • Inbox triage. Finance and operational mail sorted. Drafts or flags where you need to act.
  • Scheduling. Holds and calendar coordination for the meetings that do matter.
  • Document handling. Filing, naming, and routing contracts, statements, and vendor docs.

Hard cap: 3 hours a month. Hours past the cap are out of scope and quoted separately. Starter does not include admin.

What 3 hours of light admin looks like

Standard only. Finance-adjacent work that keeps the close and the paperwork moving. Not a full EA. Not personal errands.

Illustrative split.

Hour 1: Finance inbox triage

  • Sort finance and ops mail that affects books, vendors, and billing
  • Flag what needs your decision; draft short replies where useful
  • Leave personal and non-finance noise alone

Hour 2: Scheduling (finance-adjacent)

  • Hold and confirm the meetings that unblock money or compliance (CPA, bank, vendor, board packet timing)
  • Keep calendars clear of “another books stand-up” unless you ask for one

Hour 3: Documents filing

  • Name, file, and route contracts, statements, invoices, and vendor docs
  • Keep a path your future self (and your CPA) can find
Hard cap: 3 hours a month on Standard. Work past the cap is out of scope and quoted separately before it starts. Starter does not include admin.

Light admin is not CPA or tax advice, not weekly meetings, and not full executive-assistant cover.

A few boundaries

We are not your CPA. We do not file taxes or give tax advice. If you need filing, we hand your accountant books they can use.

We also do not default to a weekly stand-up, and this is not a full-time executive assistant. Lawyer, payroll, and the payment processor stay where they are. If what you actually need is someone in every finance meeting, we will say so.

How a month goes

  1. Fit check. Tools, how far behind you are, and what “done” looks like.
  2. Scope and kickoff. We confirm software, access, and whether catch-up comes first.
  3. Monthly rhythm. Capture, categorise, reconcile, written report. On Standard, admin runs against the same list, inside the hour cap.
  4. Handoff to your CPA. When tax season hits, the books are organised and documented.

Pick your operating style

Bookkeeping products usually fall into a few patterns. Here is how Meridian’s async written close sits next to a weekly team and an AI finance OS. Clear fit beats clever positioning.

Weekly team

Who it suits
Founders who want live stand-ups, a bookkeeping pod on the calendar, and someone to talk through every exception in a meeting.
Cadence
Weekly (sometimes biweekly) calls plus ongoing Slack or portal chatter.
Meetings
Expected. Status often lives in the call, not only in writing.
Admin
Varies by package. Often bookkeeping-heavy; admin may be limited or sold separately.
Price signal
Typically mid-to-higher monthly retainers; packages and add-ons vary by vendor.
What you get
Human team, meeting rhythm, books kept current if the process holds. More calendar load.

Examples of this category: firms and services in the weekly virtual bookkeeping team mould (e.g. Xendoo-style, BK360-style offerings).

AI finance OS

Who it suits
Teams that want a software-first finance stack, dashboards, and automation, and are ready to adopt a platform as the system of record for ops.
Cadence
Continuous product workflows; human support tiers vary.
Meetings
Usually fewer by default; support is product- and ticket-led.
Admin
Platform workflows and rules; “done for you” depth depends on plan.
Price signal
Often platform SaaS pricing plus higher tiers for human coverage.
What you get
Software leverage, visibility, and automation. You still need process discipline and clear ownership of exceptions.

Examples of this category: Pilot-, Zeni-, and Median-style AI / finance OS approaches (category peers; not a claim that Meridian replaces their full stack).

Meridian async written close

Who it suits
Technical founders, SaaS, and product operators who want the month closed in writing, with optional light admin, and who do not want a weekly meeting habit.
Cadence
Monthly close. Written report. Exception lists when something needs a decision.
Meetings
Not the default. Calls only when a decision actually needs one.
Admin
On Standard only: finance inbox triage, finance-adjacent scheduling, docs filing. Hard cap 3 hours/mo. Starter is books only.
Price signal
Starter from $299/mo (books only). Standard from $449/mo (books + light admin). Catch-up from $200 per month behind.
What you get
Capture, categorisation, reconciliation, written monthly report. Clear boundaries. Not a CPA. Not a full EA. Not weekly stand-ups.

Closest peers (honest, not copycat): Merritt (price/focus shape), Median (ICP honesty). Meridian’s wedge is the async written close plus capped light admin.

FAQ

Do you replace my accountant?

No. We keep the books current and documented so your CPA can advise and file. We do not provide tax advice or file returns.

What software do you work in?

QuickBooks Online and Xero primarily. Wave, spreadsheets, and other tools: say so on the fit check and we will tell you if a migration makes sense.

How do we communicate?

In writing: email, a shared checklist, and the monthly report. We book a call only when a decision actually needs one.

What is light admin?

Inbox triage, scheduling, and document handling tied to running the business cleanly. It is on Standard only, capped at 3 hours a month. It is not personal errands or full executive-assistant cover. Starter is the monthly close with no admin.

How much does virtual bookkeeping cost?

Starter is from $299 per month for the async monthly close only. Standard is from $449 per month and adds light admin capped at 3 hours a month. A launch promo of $399 per month is available on request for Standard; $449 is the published price. Catch-up is quoted from $200 per month behind. Simple books can be lower; complex books higher. We confirm the quote before you commit.

How fast can we start?

After the fit check, usually within one to two weeks once access is granted. Catch-up timing depends on how many months are behind.

Can you work with my CPA?

Yes. We organise the books and the written report so handoff is straightforward. Tax filing stays with your CPA.

How do I start virtual bookkeeping?

Use the bookkeeping fit check. We reply within one business day on whether we are a fit and what the next step is.
